A PIM and DAM system is more than just usability

A PIM or DAM system is not different from other systems. Like any system – whether an operating system for a computer or a data processing program – they require extensive training. Ultimately, every action must be precise; every random click that does not lead to a goal costs time and nerves. Therefore, a significant emphasis on usability should be placed right from the start in the design of an application. Because when users "feel at home" in an application, they are more inclined to work with the system.

We have also considered this in our tools dynamicPIM® and dynamicDAM®, and thanks to clever features, our PIM and Media Asset Management systems score with comfortable usability. We will introduce these to you in detail below. Let’s start with the dashboard.

The Dashboard – The homepage for every user

Applications like dynamicPIM® and dynamicDAM® thrive mainly on making important information immediately visible. As a collection point for vast amounts of data, a Digital Asset Management system (DAM system) primarily serves to quickly find all media data in one place. We developed the dashboard, i.e., a homepage, to allow each user to place the widgets/tiles on their homepage that interest them directly. So, tracking data – as long as they have the user rights – updates, workflows, time, date, or weather, everything is possible.

Mood level for corporate images or product launches

Turn on your mood system. This simply means deciding for yourself whether you want a neutral background or rather changing images of your company. These can be a new product launch or events that the company will soon implement. At your request, these images can be played on the dashboard with a click. It sounds trivial, but it's not. Because this system is used by everyone. This way, you can perfectly communicate what moves you, what you consider important, or precisely convey the feeling of your brand.

Networking with all dynamic systems

Another point regarding the comfortable handling of a PIM or DAM system: You can link all applications from one place! The dashboard was developed to link to dynamicPIM®, but all other applications can also be accessed from there when you are logged in. Not only those from our system, but also external applications can be linked easily. This way, you make your DAM system the central single point of information, if you so choose.

The data cart: The central collection point for products

The data cart in dynamicPIM® works like a shopping cart in a shop system. It collects products and allows the assignment of output containers. This enables quick and easy mass downloads of product data. The collected product data can again be saved in the data cart for later use. For example, to send PINs with limited validity to externals who do not (want to) have access to the system. You can find out how external access to the system works in our article about it.

This is how the data cart allows you to use the PIM and DAM system very conveniently: These data carts are not limited in number and are only visible to the user who created them. They are thus stored in the respective user profile.
This results in numerous possibilities to use these data carts. For example, to always have product groups available without having to reassemble them. Or to send them, as mentioned above, to users via PINs.

This principle is identical to the dynamicDAM® solution. The data cart and its functionality occur in media data management in the same form. This achieves optimal usability that does not require any learning curve from the user. They can operate in both worlds with the same functionality and logic.

Devices: Managing the flood of input/output devices

The comfortable handling of a PIM or DAM system is supported by the use of different end devices. Desktop, tablet, or smartphone – the applications are fully responsive and usable on all devices. Moreover, there are mobile apps that take on specific functionalities or significantly enhance daily mobile life. We all face the challenge that the amount of input devices, and thus the screen sizes, has dramatically increased. This poses a significant challenge for applications. All devices must allow access to the most important functions. The goal is less about enabling editing on all devices, including smartphones. But general data access and data search must be possible. We aim to meet these requirements with our products and constantly adapt to the various browsers and operating systems running on the respective devices.

Additionally, there are mobile apps for more specific tasks and offline usability, such as dynamicEXPERT® or dynamicSALES®, which primarily run on the Apple iPad. Furthermore, our systems are always usable for external access as well.

Usability and comfortable handling of a system go hand in hand. Various functions, such as in our case the dashboard, the data cart, or the usability on different end devices, contribute to employees enjoying using the systems. And this also leads to greater efficiency in work processes.
